All the information you need to submit your thesis to the library

PhD thesis

30 days at most before the viva
Submit your thesis and fill out the online form using the dedicated application in the ENT (login using the “student” Sesame account).

  • Naming thesis files: Last name_First name.pdf.
  • Format: pdf.
  • If the thesis features several files:
    • Naming: Nom_Prenom1.pdf  (for the 1st file to open), Last name_First name2.pdf, etc. The files must be numbered according to reading order.
    • Create a .zip archive named Last name_First name.zip. This is the archive you submit.
  • Key words : consult the list of topics at the BnF.
  • Dissemination agreement (English version, for information only): sign and hand in three copies to the library before the viva.

After the viva

  • The examiners requested corrections during the viva:

    • submit the corrected version of your thesis using the dedicated application in the ENT.
    • provide the library with proof from your PhD supervisor that the new version submitted complies with the corrections requested by the examiners (template).
  • If you have made minor changes to your thesis, submit the new version using the dedicated application in the ENT.
  • At the library, make an appointment with the theses coordinator to:
    • check the whole submission.
    • sign and hand in three copies of the dissemination agreement if you did not do this before the viva.
    • provide a hard copy of your thesis if you wish to. A hard copy needs to be submitted if you share your digital thesis by Intranet only.
    • obtain a discharge to send to the university records office (at the UL).

Medical thesis

Three weeks before the viva at the latest
Submit your thesis and fill out the online form using the dedicated application in the ENT (login using the “student” Sesame account).

  • Naming files making up the thesis: Last name_First name.pdf.
  • Format: pdf.
  • If the thesis features several files:
    • naming: Last name_First name1.pdf (for the 1st file to open), Last name_First name2.pdf, etc. The files must be numbered according to reading order.
    • create a .zip archive named Last name_First name.zip.. This is the archive you submit.
  • Key words :
  • Dissemination agreement : sign and hand in three copies to the library before the viva
  • Library discharge (university records office): to be requested at the Health Library or online

After the viva

  • The examiners requested corrections during the viva:

    • submit the corrected version of your thesis using the dedicated application in the ENT.
    • provide the library with proof from your PhD supervisor that the new version submitted complies with the corrections requested by the examiners (template).
  • If you have made minor changes to your thesis, submit the new version using the dedicated application in the ENT.
  • If you have submitted a new version of your thesis online, please provide the Health Library with a hard copy of this new version.
